Receptionist – Full Time, 37.5 hours per week

We’re excited to welcome a professional and friendly Receptionist to join our dynamic Front of House team in our Southampton office. This is a fantastic opportunity for someone who enjoys working in a client‑facing role and thrives in a busy, varied environment.

As the first point of contact for visitors and callers, you’ll play a vital role in creating a positive and memorable experience for clients, guests, and colleagues. This position combines telephony, front‑of‑house responsibilities, and general office support, helping to ensure the smooth day‑to‑day running of the office.

Key Responsibilities:

Telephony:

  • Answer incoming calls promptly, professionally, and courteously, ensuring they are directed to the correct person.
  • Check voicemail inboxes regularly and follow up as required.
  • Monitor shared email inboxes and incoming faxes, forwarding messages to relevant team members.

Front of House:

  • Greet and welcome all visitors with a warm, professional approach.
  • Manage the visitor check‑in process, including issuing badges and recording entry details.
  • Keep the reception area tidy, organised, and welcoming, including maintaining displays and literature.
  • Oversee meeting room bookings and ensure rooms are set up correctly, including arranging refreshments and ensuring facilities are fully equipped.
  • Support the team in maintaining stock of office supplies, beverages, and snacks.

Administrative Support:

  • Assist with day‑to‑day office administration, including handling deliveries, distributing mail, and managing office supplies.
  • Work closely with the Facilities Manager to support maintenance tasks and help resolve any facilities issues.

About You

We’re looking for someone who brings positivity, professionalism, and a can‑do attitude to every interaction.

You will ideally have:

  • Experience in a receptionist or customer service role (beneficial but not essential — full training will be provided).
  • Excellent communication and interpersonal skills.
  • Strong organisation and multitasking abilities.
  • Confidence using Microsoft Office and standard office equipment.
  • A discreet and reliable approach to handling confidential information.
